How the steps fit together

A clear path through the process.

01 —

Review the service

Customer, transport service, service date and agreed terms form the basis. Check additional line items such as agreed waiting time.

02 —

Check the invoice

Recipient details, required fields, tax treatment and amounts must match the transaction. Structured e-invoices also require format validation.

03 —

Include accounting

Agree the output format, delivery method and retention process with accounting. Keep the original file within your defined document workflow.

01

PDF, XRechnung and ZUGFeRD serve different needs.

A PDF can be read by a person. A structured e-invoice also contains machine-readable invoice data. XRechnung uses structured XML; ZUGFeRD combines a readable document with structured data depending on its profile. The format, version and profile matter when selecting a workflow.

  • Record the recipient’s requirements
  • Distinguish creation, receipt and export
  • Validate a sample before going live
02

Keep invoices in the transport workflow.

DispoHub organises invoices, expenses and related documents. Review billing against a specific order: which service was delivered, which line items belong on the invoice and who checks the details?

  • Review customer and service details
  • Keep invoices and expenses in context
  • Define responsibility for checks and completion
03

Use a real requirement to define setup.

Bring a typical customer’s format requirements to the demo. We clarify the output and processing options available for your DispoHub access. References to XRechnung and ZUGFeRD explain selection criteria and do not promise support for every version or feature.

  • Agree the format and profile
  • Check exports and handover
  • Confirm plan, setup and costs

Before you start

The right questions. Clear answers.

Review your workflow together ↗
Is every PDF invoice a structured e-invoice?

No. A plain PDF does not automatically contain structured invoice data. The supported format and the requirements of the individual transaction matter.

Which formats can I use with DispoHub?

We agree the available creation, receipt and export scope for your access before setup. Ask to see the required format and a suitable sample before changing your invoicing process.

Can my accountant work in DispoHub?

DispoHub provides for accountant and tax adviser access. Visible data and permitted actions depend on configured roles and permissions.

Where can I read the official guidance?

The German Federal Ministry of Finance explains formats, transition rules and applicable cases in its e-invoicing FAQ, linked below.
